# Approval Workflow

An approval workflow is a process that requires social media posts to be reviewed and approved by designated team members before they are published.

When you're the only person managing your social media, you don't need an approval process. You write it, you review it, you post it. But the moment a second person starts creating content, you need guardrails.

An approval workflow defines who creates posts, who reviews them, and who gives the final green light before anything goes live. It's a chain of checkpoints. Content moves from draft to review to approved to scheduled — and it can't skip steps.

## Why Approvals Exist

Brand safety is the obvious reason. A single off-brand tweet, an incorrect product claim, or a poorly timed joke can generate real backlash. Approval workflows catch these problems before they reach your audience.

But there's a less obvious benefit: quality. When someone knows their work will be reviewed, they put more effort into it. And a second pair of eyes almost always improves the final product. Typos get caught. Weak hooks get strengthened. Off-brand language gets flagged.

For regulated industries — finance, healthcare, legal — approval workflows aren't optional. Compliance teams need to review social content before it's published. Without a formalized process, you're one intern away from a regulatory violation.

## How a Typical Workflow Looks

The simplest version is two-step: creator submits a draft, approver reviews and either approves or sends it back with feedback. Most teams can start here.

Larger organizations add layers. A copywriter drafts. A social media manager reviews for brand voice and strategy. A compliance officer checks for legal issues. A director gives final sign-off. Each step has a clear owner and clear criteria.

The key is keeping it fast. An approval workflow that takes three days to clear a single post defeats the purpose of timely social media. Set expectations — reviewers should respond within 24 hours, ideally same-day. Build review time into your content calendar so deadlines account for the approval cycle.

## Making It Work Without Slowing Down

Batch your approvals. Instead of sending posts one at a time, submit a full week's content for review in one batch. Approvers review everything in a single sitting. Feedback is consolidated. Revisions happen once. This is faster for everyone.

Use clear status labels: draft, in review, needs revision, approved, scheduled. Everyone should be able to glance at the queue and know exactly where every post stands.

**Example**

Your social media coordinator drafts a week of Instagram posts. The marketing manager reviews each one, requests a caption tweak on Wednesday's post, and approves the rest. Only approved posts move to the schedule.

## **Why It Matters**

One bad post can cost a brand months of trust. Approval workflows prevent mistakes from going public by adding a human checkpoint between creation and publishing. They're essential for any team where more than one person touches social content.
